Wedding Photographer FAQ: What Every Couple Should Ask Before Booking

We get asked a lot of the same questions during our consulting calls with couples, and honestly, most couples do not know to ask half of them until something goes wrong for a friend. So we put together the questions we think every couple should be asking their photographer, answered exactly the way we would answer them if you were sitting across from us on a call right now.

Before Ying Multimedia was a business, we were just a couple planning our own wedding, sitting on the other side of this exact search trying to figure out who to trust. When our photos finally came back, they were not good. We were handed a single DVD-R, no backups, no online gallery option, nothing. That disc got passed around to family members just to look through, since there was no other way for anyone to see the photos back then. Somewhere along the way it got misplaced, and when we reached out to the photographer, they told us we were their first and last wedding, and that they had already deleted everything on their end. There was nothing left. To this day, the only surviving photos from our wedding day are the ones our family members happened to take on their own point and shoot cameras. That is the exact moment this business was born. We started Ying Multimedia so no other couple would ever have to feel what we felt finding out their wedding day, the one day you cannot redo, was just gone.

Who owns my wedding photos?

You get personal use rights. That means you can use, print, and share your photos for personal use, however and wherever you want. We hold the original copyright, since we are the ones who actually took the photos, and that is true across every package we offer, it does not change based on what you book. This is standard across the industry, not just us. What is worth watching for is how different photographers define “personal use.” Some only let you print through their own lab, or require you to purchase prints directly from them even after you have already paid for the wedding. With us, personal use means you get your full resolution images to download and print wherever you want, no restrictions on which lab you use. Get this clarified with every photographer you interview, not just us. Do not assume “you get your photos” means the same thing from vendor to vendor.

What happens if my photographer gets sick or has an emergency on my wedding day?

Ask this question directly, because the answer tells you everything about how a business is actually run. We are a husband and wife team with associate photographers trained in our style, plus a network of photographers we trust in the Sarasota-Bradenton area. If one of us could not physically make it, there is a plan, not a scramble. Anyone who tells you that has never happened simply has not been doing this long enough. We have actually lived it. We have broken a toe, hurt a back shooting at a venue that was not exactly safe to move around in, and gotten sick right before a wedding, and every single time, we called on our network and made sure the couple was covered without ever knowing how close it came to being a problem. A photographer who cannot give you a real, specific answer to this question, or who brushes it off with “that has never happened,” has not actually thought it through, or has not been in business long enough to have needed the plan yet.

Will you be the photographer at my wedding?

Ask this directly, and get it in writing. There is a shady practice in this industry where marketing firms pour all their money into advertising and building a polished brand, then hire someone off the street to actually shoot the wedding, sometimes someone with very little experience. The most common version of this is not knowing who is actually shooting your wedding until the week of, or finding out that the person who showed up is not the same person you spoke with on your consultation call. Some businesses will even promise you a specific photographer by name, then do a bait and switch closer to the date and send an associate instead without telling you upfront. When you book with us, you know exactly who is showing up, because we tell you directly and we do not switch it on you later.

Is my photographer a registered business or a hobbyist?

This matters more than most couples realize. We are registered through SunBiz as a legitimate Florida business, not someone shooting weddings on the side out of a personal Instagram account. A registered business means there is a paper trail, a tax ID, and accountability if something goes wrong. It also usually means the person has been doing this long enough to treat it like a career, not a hobby that could disappear the week after your wedding.

Does my photographer carry liability insurance?

They should, and you should ask before you book. Most wedding venues actually require the photographer to carry liability insurance to even be allowed on site, especially venues with equipment restrictions or historic properties. A photographer without insurance is a risk to the venue and a risk to you if equipment damages property or someone gets hurt during a shoot. It is one of the fastest ways to tell a serious professional from someone who is not fully set up to run a business.

What does a low retainer actually signal?

Industry standard for a wedding photography retainer is usually around 50 percent. We intentionally offer 20 percent instead, due within 14 days of accepting your quote, because we want booking us to come down to commitment, not a financial hurdle. That said, a retainer that seems unusually low elsewhere, or a photographer offering no retainer at all, is worth a second look. A retainer is what makes a photographer financially invested in your date. A photographer with nothing on the line has a higher chance of canceling on you if a better opportunity comes along, simply because there is no money committed to showing up. A retainer protects both sides. It secures your date on our end, and it holds us accountable on yours.

What happens to my photos if the photography business closes?

This is an uncomfortable question, but a fair one, especially with how many photography businesses come and go. If we ever closed, we are committed to honoring the two year gallery hosting we promise every couple, even if it costs us a few thousand dollars out of pocket to keep those servers running with no business left generating income. That might sound like an odd thing to commit to on paper, but it is not really a business decision, it is the reason we started this in the first place. We know what it feels like to lose wedding memories, and we are not willing to let that happen to another couple just because our doors closed. Ask any photographer you are considering what actually happens to your gallery if their business does not make it. If they do not have a real answer, that is worth knowing before you book, not after.

Why do engagement sessions matter?

An engagement session is not just a bonus photo shoot, it is a rehearsal for how you and your photographer work together. It is the first time we are photographing you as a couple outside of a wedding day timeline, and it lets you get comfortable in front of the camera before the day that actually matters most. Couples who do an engagement session before their wedding are almost always more relaxed and natural in front of the lens on the big day, because they have already done it once. It also works the other way around. That time together is how we learn how you two actually interact, who leans into the camera and who needs a little coaxing, what makes you laugh for real. We carry all of that into your wedding day, which means we know how to read you and get natural reactions instead of posed ones when it counts most. An engagement session is also the first time most couples actually see themselves in our work, not just examples of other couples on our website. Seeing your own photos come back and looking exactly like the images you fell in love with on our page removes the doubt. Instead of hoping it works out the way you pictured it, you walk into your wedding day already knowing it will. We had a bride tell us in a WeddingWire review that she had always felt awkward in photos, and still ended up saying she and her husband looked amazing in theirs. That is the engagement session doing its job.

What happens to my photos between the wedding and delivery?

Ask this before you book, not after something goes wrong before your gallery even arrives. We back up every wedding the same night it happens, and your photos exist in three places at once from that point forward until your full gallery has been delivered to you. We do not clear or reuse the memory cards until after your gallery has been fully delivered and confirmed, no exceptions. That means we are sitting on a lot of cards at any given time, which is exactly why we have heavily invested in memory cards over the last 10 years. We own hundreds and hundreds of them at this point. It is not a small investment, but it is one we keep making so that this process never breaks, because the alternative is having to call a couple and tell them their memories are gone, and that is not a conversation we are ever willing to have. That gap between your wedding day and delivery is exactly when photos are most at risk with a photographer who does not have a real backup process, so ask specifically how and when backups actually happen, and when their memory cards actually get cleared, not just that a backup process exists.

How long does a photographer keep my photos after delivery?

Ask this before you book, not after the photos already got misplaced. We hear it constantly. A full wedding gallery is huge, often 10 to 15 gigabytes, and fewer and fewer couples actually own a computer with the space to hold it, especially with how expensive computers and their internal storage have gotten. That means fewer couples have anywhere to actually keep their entire wedding day once it is delivered to them, which makes what happens on our end after delivery even more important. Once your gallery is delivered, the original catalog goes into cold storage on our end, so if you ever reach out years later needing your files again, or if something happens and your online gallery is not available for any reason, we still have it. This is not a policy we just talk about. Our very first wedding is still sitting in cold storage, and that couple’s gallery is still live and accessible online right now. On top of that, we commit to keeping your online gallery live for at least two years after your wedding, so if you lose your USB drive, run out of space, or misplace the download, your photos are not gone. Get this clarified specifically, because plenty of photographers only host your online gallery for 30 to 90 days before it comes down for good. Online hosting costs money, and rotating galleries down quickly is an easy way to save on that cost, but it means your window to redownload anything can close a lot sooner than couples expect. Ask exactly how long your gallery stays live, not just whether one exists.

What does culling actually mean?

Culling is the process of going through every single photo taken during your wedding and selecting the best ones to edit and deliver, cutting out blinks, duplicates, and unusable shots. A wedding day can produce thousands of raw images, and no couple wants three versions of the same handshake. Culling is where a photographer’s eye actually matters, because it is a judgment call on what tells your story best, not just a technical sort. Take your first kiss as an example. That single moment might produce 20 to 30 frames as we burst through it to catch every angle. You do not want all 30 of those in your gallery. You want the 3 to 5 that actually capture it best from a few different angles, so the moment feels special every time you look at it instead of repetitive.

Does my photographer limit how many photos I get, or make me pick favorites before they edit?

Ask this before you book, because some photographers will not start editing until you go through your raw gallery and pick a set number of photos yourself, then only those get fully edited. We do not play that game. We do not limit how many photos you receive, and we do not make you do the work of picking favorites out of thousands of raw images before we will edit anything. Every photo that makes it into your final gallery gets fully edited by us for color, sharpness, skin tone, and balance, not just the ones you were forced to shortlist. If a photographer’s pricing depends on how many photos you are willing to sit down and select yourself, that is worth asking about directly before you sign anything.

Does my photographer edit their own photos, or is it outsourced?

Ask this directly, because it changes the consistency of what you get back. Outsourcing editing and culling to overseas labor in places like Eastern Europe or Asia is common in the industry, since it is the most time consuming part of a wedding and low cost labor makes it cheaper to offer. It is not inherently a bad practice, but it means someone who was not at your wedding is making creative decisions about how your photos look. We keep it all in house. Every photo is edited by us, and every video is edited by Jo, so the people who were actually standing next to you during your first look are the same people deciding how that moment gets processed.

Does my photographer reuse the same memory cards across different weddings?

Ask this one specifically, because it is easy to overlook and it is where a lot of real disasters actually start. If a photographer is reusing the same small set of cards week after week, formatting and reloading them for the next wedding before your gallery has even been fully confirmed, one bad card, one accidental overwrite, or one corruption issue can wipe out footage from multiple different couples at once, not just yours. That is exactly why we do not do it. Every wedding gets its own dedicated set of cards, and that set does not get touched again until your gallery has been fully delivered and confirmed. One wedding, one set of cards, no exceptions, no sharing cards across different couples’ weddings.

Does my photographer’s camera equipment actually matter?

It matters more than most couples think to ask about. Your wedding day happens once. There is no redo if something goes wrong with a single point of failure, and a memory card is exactly that if a photographer is only shooting to one card at a time. Every camera we shoot with writes to two SD cards simultaneously, so if one card fails, gets corrupted, or gets lost, the same photos are already sitting safely on the second card. Here is the part that trips couples up. Plenty of professional cameras come with two card slots built in, but with memory card prices climbing, some photographers only load one card and leave the second slot empty to save money. Having a dual slot camera means nothing if it is not actually being used in dual write mode. Ask your photographer directly whether their camera writes to both cards at the same time during your wedding, not just whether their camera is capable of it.

Do camera lenses and lighting gear matter as much as the camera itself?

Yes, especially once the sun goes down. Lenses matter just as much as the camera body, particularly in low light. The same way a phone camera struggles once the sun goes down, a professional camera needs low aperture lenses, meaning a low f-stop number, to actually gather enough light and produce a clean, sharp image once the lights dim. Let’s be honest, most reception venues are low light by design, because that is what makes them feel romantic. That is exactly why we do not rely on the lens alone. We bring our own LED lighting, flash, strobes, and pocket lights to every wedding, so your reception photos still look bright, sharp, and full of color instead of grainy and dark just because the room’s ambient lighting was not built for photography.

RAW vs JPEG, and does it matter for my wedding photos?

Think of it like tacos. A RAW file is the raw beef, the taco seasoning, the fresh toppings, all the individual ingredients sitting there with full potential but nothing finished yet. A JPEG is the plate of 3 beautiful tacos already built and served. The tacos might look great, but once they are plated, you cannot go back and adjust how much seasoning is in the meat or swap out an ingredient. RAW gives a photographer that same flexibility with your photos, the ability to still adjust exposure, color, and detail after the fact, without breaking anything down. JPEGs are compressed, and the camera itself processes and finishes the image the moment it is taken, which locks in a lot of decisions before a photographer ever gets to edit anything. We shoot RAW on every wedding for exactly this reason. It is more work on the back end, but it means we can recover a shot in tricky lighting instead of losing it.

Does my venue’s lighting actually affect my wedding photos?

Yes, more than most couples expect. Venues with poor ceremony lighting, mixed color temperatures, or heavy overhead fluorescents create real challenges that good gear alone cannot fully solve. We bring auxiliary lighting to every wedding, because relying only on ambient light at a dim reception is how you end up with grainy, flat photos. Ask your photographer how they handle low light venues specifically, not just what camera they use.

Is back to back wedding booking a red flag?

Not on its own. Shooting weddings on consecutive days is common and not a problem by itself, plenty of experienced photographers handle it fine. What actually matters is turnaround time. The real question is whether a photographer who is booking back to back weddings, sometimes stacking up a backlog of several in a row, can still deliver your gallery in a reasonable timeframe without rushing the editing to catch up. Ask about their turnaround time directly, and ask how it holds up during their busiest stretches, not just what their calendar looks like around your date.

What is a shot list, and how long should it actually be?

A shot list is a reference list of specific photos a couple wants captured, usually family combinations, key details, and personal must haves. It should be focused, not exhaustive. A shot list with 150 items turns your wedding day into a checklist exercise instead of documentary storytelling, and it eats into time that should be spent capturing real moments as they happen. The last thing you want is a real, unrepeatable documentary moment unfolding right in front of us while we are heads down reading through a list for the hundredth time making sure we hit every single item on it. That moment does not wait for us to finish checking boxes. We ask couples for the important non negotiables and family groupings, then trust our documentary approach to capture everything else authentically.

Should I hire a second shooter for my wedding?

A second shooter covers angles and moments the primary photographer physically cannot be in two places for at once, like the groom’s reaction during the first look while the bride is walking down the aisle. We actually experienced this firsthand at our own wedding. We got ready in two different locations, and a single photographer simply cannot be in both places at once, which means one of those moments gets missed entirely. That is exactly why every package we offer includes two photographers, not just our higher tier packages. With two photographers covering both sides of your day at the same time, your gallery comes back to you in chronological order showing what each of you were doing simultaneously, and it is often where the most serendipitous, unplanned moments end up getting caught, the ones neither of you even knew happened until you see them in the gallery. One couple put it well in a Zola review of ours, describing how Bill covered the boys getting ready while Rachel covered the girls at the same time, so no special moment was missed before they ever saw each other.

Do you offer wedding videography, or just photography?

We added video to our offering in 2025, which is actually why we rebranded from Ying Photography to Ying Multimedia. Our lead cinematographer Jo runs our video side, and every video package can be booked alongside photography or on its own. If a photographer you are considering only offers stills, ask whether they have a videographer they actually work with regularly, or whether you would be coordinating two separate vendors on your own on the busiest day of your life.

Why did you bring video in house instead of just referring couples to an outside videographer?

For years, we either worked alongside outsourced videographers or watched couples book their own separate videographer entirely on their own. What we kept running into was the same problem. Each business is focused on delivering their best work and hitting their own goals for the day, and when two teams who have never really worked together are both trying to do that at the same time, the team mentality can go out the window fast. We ended up in each other’s shots more than we would like to admit, both sides competing for the same angle instead of working around each other.

A good example is the recessional. The couple is walking back down the aisle as newlyweds, and both photo and video want that same center aisle angle to capture it head on. More often than not, that meant a videographer’s camera or hands showing up right in our photo frame, or the other way around. With Jo, we solved it by shooting over his shoulder. He gets his center aisle video angle, and we get ours from just behind him, completely out of each other’s frame, both of us still getting the exact same moment. That kind of coordination only works because we have shot dozens of weddings side by side with Jo and know exactly how he moves in a moment like that.

Unless you have actually worked with a videographer before, you have no idea how they are going to behave once the ceremony starts, and that unpredictability can cause real problems beyond just a blocked shot. We shot a wedding once where the couple had hired their videographer separately, at a church ceremony, and that videographer walked straight into the altar area to get a better angle. It upset the priest so much that he pulled us aside privately after the ceremony and asked for the videographer’s contact information, specifically so that person would never be allowed in that church again. That is the kind of risk you are taking on when you book photo and video separately with vendors who have never worked together and do not know each other’s boundaries.

Bringing video in house with Jo as our lead cinematographer solved all of this. We know how each other move and think on a wedding day, and our work looks consistent because we are actually a team, not two vendors who happened to get booked for the same date.

What does wedding video actually capture that photos can’t?

Photos give you a moment frozen in time, but video gives you the sound of it. Your vows in your own voice, the exact words of the best man’s toast, the song playing during your first dance, the specific way the room sounded when you walked in as a married couple. Photos are incredible for reliving how your wedding looked. Video is what lets you hear your grandfather’s speech again in twenty years, not just see a photo of him giving it.

Can I book both a photographer and a videographer through the same team?

Yes, and we would actually recommend it over booking separately. You can bundle Jo with either of our teams, us directly as Bill and Rachel, or our associate photographers Mariah and James, for a complete photo and video package coordinated under one team that already works together and knows how to stay out of each other’s shots. When your photographer and videographer have never worked a wedding together before, you sometimes end up with both of them competing for the same angle during your first look. That does not happen when they are used to working side by side.
